Batch import and export of employees
When there are a large number of employees, you can download the CSV template on the employee page, import it in batches, and check the number of successes and failures; the exported file contains personnel information and should be managed according to the company's internal data.
Entry and preconditions
Enter "Basic Information → Employees". Import requires new employee permissions, and export requires corresponding viewing permissions. First establish the departments, roles and positions to be referenced in the template, and check the number of available members.
Template main fields
| template column | Fill in the requirements |
|---|---|
| Required for current CSV import, cannot be repeated in the same file, and cannot use an existing mailbox. | |
| password | The current CSV import is required and must meet the account and password rules; after import, it will be delivered to employees according to corporate procedures. |
| full_name | Employee display name. |
| department_code | Fill in the department code that the company already has, not the department name. |
| role_codes | Fill in the existing role codes of this enterprise; separate multiple values with English commas or semicolons, and the CSV editor should correctly retain the entire column. |
| post_codes | Fill in the company's existing position code, not the position display name. |
| is_active | Fill in the enabled status by template; keep the rest of the template columns with the default values for ordinary employees. |
Import steps
- Click "Download Template" and the latest template shall prevail. Do not change the listing by yourself.
- Fill in a small number of employee samples and check the uniqueness of the email as well as the department, role, and position codes.
- Save as a UTF-8 encoded .csv file; do not use the XLSX extension disguised as CSV.
- Click "Import", select the file, and wait for the results.
- Check the number of successes, failures and returned error rows; first query and confirm the successful employees, and then retry only the failed data.
- After importing, query the user name/employee number recorded in the system, and complete the photo, mobile phone number, and date of employment as needed; when you need to customize the employee ID, use a single new form first, and you cannot directly change the user name on the edit page.
The difference between import and single addition
A single new page supports filling in the user name and optional email address; the current CSV import uses email address and password as required columns, which does not mean that photos, mobile phone numbers, and joining dates will be automatically imported. Do not assume that custom columns that do not appear in the template are supported features.
Export and check
After clicking "Export" to obtain the CSV, check the record range and fields, and do not assume that only the current page or current filter has been exported by default. Please keep the long numbers and dates in the table as they are. The exported data contains personnel information and should not be placed in public documents or broadcast materials.
Common mistakes
Encoding error: Resave as UTF-8 CSV. Duplicate email addresses: Query existing employees and do not add new ones repeatedly. The department, role or position code is invalid: check the basic information of the company first. Some rows are successful: only the failed rows are corrected, and the entire batch is not blindly imported again.
