Employee management and employee information

Maintain the company's employee accounts, names, departments, positions, roles, photos and joining dates in "Basic Information → Employees", and prepare personnel information for workstation login, employee badges and production reporting traceability.

For tenant administrators and authorized employees

This chapter only introduces authorized operations within this enterprise. The entrance and buttons change with the scope of enterprise opening, employee roles and positions; the actual picture uses test data.

Enter the page and query employees

  1. Open "Basic Information → Employees"; the "user" on the page refers to the employee account of the company.
  2. Filter by department on the left to search for department names; select "All Departments" to restore the entire range.
  3. Query in user name or keyword, activation status, creation time and other conditions.
  4. Check the username and name before editing to avoid modifying employees with the same name.

Add fields for new employees

Steps to add new employees

  1. Click "Add User" and fill in the username, name and initial password.
  2. Complete the email address, mobile phone number, date of joining and department as necessary.
  3. Assign the roles and positions that have been maintained by the company and confirm the activation status.
  4. You can click "Select employee photo" to select a JPG, PNG, GIF or WebP image.
  5. Click "Confirm" to save. After saving, query again and check the user name, department, position and status.
  6. The employee himself uses the account to try to log in, and checks the employee badge on the terminal.

Editing, Photos and Password Maintenance

  1. Select "Edit" on the employee row and verify the read-only username.
  2. Modify name, contact information, date of joining, department, role or position; only change the fields that need to be adjusted.
  3. When updating the photo, select a clear avatar, save it and go to the terminal to check again.
  4. Fill in the new password when you need to reset it; leave this field blank if not.
  5. Click "Confirm" and re-open the data to check the saving result; when an error message appears, check whether some data has been saved and try again.

Decommissioning and transition

Toggle enabled on the employee row and confirm. When you leave your job or are temporarily not allowed to log in, you should first deactivate it according to the enterprise management process, and then check the unprocessed tasks and historical production report. Administrator accounts that are prohibited from deletion on the page cannot be deleted as ordinary employees; consider the history traceability requirements before deleting.

Verification of terminal employee badge

After logging in to the terminal, employees click on the employee's name at the top to check the name, job number, position, phone number, date of employment and avatar on the employee badge. If the information is incorrect, go back to the employee form to check, save it and then re-enter the terminal to confirm. The employee badge page does not replace the company's training and certificate management system.

FAQ

Employees can log in but there is no business menu: check roles, not just positions. The position is empty: Check whether the employee is assigned a position and whether the position is enabled. Photos are not displayed: Check the file format, whether the upload is successful and the network. The username cannot be modified: the edit page is designed to keep the username unchanged.
